Title: Assistant Race Coordinator

Reports to: Operations Manager

Nature of Work: Contract (~1000 hours, March-October)

Remuneration: $45,000

 

Sport Yukon, the face and voice of sport in the Yukon, supports inclusion, access, and diversity through the development of sport and recreation throughout the Territory.  We are the hub of a vibrant, healthy, engaged community of sport organizations that are continuously growing and improving.  In support of that mission, Sport Yukon has organized the Klondike Road Relay for nearly 40 years, raising money in support of our programs. 

 

The Klondike Road Relay is the largest sport tourism event in the Yukon, with approximately 1800 racers annually running the 175km highway route between Skagway, Alaska and Whitehorse, mirroring the historic White Pass trail used by Klondikers during the Gold Rush. The race runs the weekend after Labour Day.

  

This contract position provides logistical, organizational, and administrative support for the Klondike Road Relay, working alongside Sport Yukon staff as well as community partners, volunteers, and more to deliver this iconic race event.  This contract position will be heavily weighted in the months leading up to and including the race (September 6-7, 2024), with smaller time commitment in the early months and leading out of the race in the reporting period.

 

In conjunction with other staff and stakeholders, this position will work collaboratively to:

 

  • Assist the Programs & Events Manager with the organization and delivery of the Klondike Road Relay, including: recruitment, coordination, and training of volunteers; implementation and delivery of sponsorship agreements; administration of various race logistics (insurance, registration, etc.); and race day event management.
  • Coordinate with sponsors, vendors, governments, and other stakeholders to organize the Skagway Start, the Northwestel Finish Line, and the Party in the Park
  • Ensure KRR volunteers are properly trained and equipped for their various assignments (start/finish line, checkpoint management, safety, Party in the Park, etc.)
  • Maintain Klondike Road Relay communications channels including: newsletter, social media, website, etc.,
  • Manage logistics for the KRR, including racer registration and communications, assembly of race materials, racers safety, coordinating with essential stakeholders (Yukon First Nations, CBSA, US Customs and Border Protection, City of Whitehorse, etc.)
  • Coordinate and manage Sport Yukon’s owned and borrowed inventory of race materials including signage, checkpoint supplies, racer packages, marketing materials, etc.
  • Ensure proper recognition of KRR sponsors according to their individual sponsorship agreements.
  • Provide detailed information in support of final reporting for funding, sponsors, etc.
  • Assist the Programs & Events Manager with any additional logistical, administrative, or operational requirements for the Klondike Road Relay.
  • Meet regularly (weekly) in-person with Sport Yukon staff to provide updates, coordinate tasks, and work collaboratively on shared duties/responsibilities.

 

The incumbent will require:

  • Excellent organizational and time management skills
  • Strong task management skills and a detail-oriented work process
  • Strong interpersonal communications skills
  • Excellent ability to build and maintain relationships with member and partner organizations, and individuals with diverse experiences and backgrounds 
  • Desire and ability to work collaboratively with a variety of individuals and organizations
  • Strong computer skills, including Word, Excel, Wix, Meta Business Suite, database administration, etc.
  • Ability to multi-task / manage multiple projects concurrently 
  • Highly developed ability to lead using influence
  • Desire to work in a small, vibrant ever-changing organization
  • Strong work ethic and an energetic and enthusiastic approach to work.

 

These skills are normally gained through:

  • Education and/or experience in event or project management
  • Experience leading and delivering projects
  • Experience working collaboratively.

 

Sport Yukon is a small organization that maintains stable weekday business hours in order to provide consistent support to member agencies. It is also a flexible and vibrant workplace that adapts to meet the needs of clients as required outside of regular hours. Sport Yukon is open to subcontractor arrangements (pending approval).

Title: Promotions Coordinator

Reports to: Organizational Development Manager

Nature of Work: Part-Time (12 hrs/wk)

Remuneration: $25,000/yr

 

 

Sport Yukon, the face and voice of sport in the Yukon, supports inclusion, access, and diversity through the development of sport and recreation throughout the Territory.  We are the hub of a vibrant, healthy, engaged community of sport organizations that are continuously growing and improving. Communication and promotion of sport and recreation throughout Yukon is at the heart of what we do.

This position provides the creative genius and personality behind our communications, public relations, media, social media and website. It also puts that creative genius into action by developing, providing and maintaining the required product and services.  

 

Drawing on the program and technical expertise of other staff and member organizations, this position will work collaboratively to:

  • Promote awareness and participation in sport through our comprehensive website, social media campaigns, and other programs and events, in partnership with Yukon sport organizations and clubs 
  • Develop and maintain a high profile, dynamic and active website that serves member and partner organizations, families, and the Yukon community at large
  • Maintain and promote use of Sport Yukon’s Digital Display Network with SY’s membership
  • Establish and maintain a social media presence for Sport Yukon
  • Proactively lead the promotion of Sport Yukon in the media
  • Create and produce a variety of communication products that portray Sport Yukon, its member agencies, partners and its programs and services in a positive and engaging manner.
  • Lead marketing and communications for all Sport Yukon programming, formulating an annual marketing plan to form the basis of this communication
  • Create and maintain regular contact with member organizations for the purposes of promoting their events

 

The incumbent will require:

  • Strong professional writing skills
  • A background / experience in public relations and social media communications
  • An understanding of website design, and the ability to operate and maintain a dynamic website presence
  • Strong interpersonal communications skills
  • Knowledge of sport
  • Desire and ability to work collaboratively with a variety of individuals and agencies across Yukon
  • Desire to work in a small, vibrant ever-changing organization
  • Strong work ethic and an energetic and enthusiastic approach to work.

 

These skills are normally gained through:

  • Education /experience in sport promotion and marketing
  • Education and experience in communications, media / public relations, combined with a knowledge and interest in sport and recreation
  • Experience designing and operating websites
  • Creation and implementation of annual marketing plans/campaigns
